The Administrative Technician will perform highly professional administrative support work in the Municipal Services and Operations Department to support department administration, operations, service requests, reporting, data collection and customer service.
Key job duties for this position include supporting the MSO Finance team of Internal Services with: invoice processing, purchase orders, requisition requests, reconciling VISA purchases, processing travel advances and department reimbursements. Additionally, this position is responsible for: creating, requesting, and tracking of all Project Exemption Certificates (PEC); creating and working within spreadsheets for reporting revenue, spending, and encumbrance; and reporting on inventory for five warehouses monthly and end of year. Other job duties include answering phones, providing cross-functional support for other MSO Administrative Specialists and Technicians. This position assists all City departments and citizens with department questions received via email, telephone and walk-in traffic; provides exceptional customer service to the public and City personnel. The Administrative Technician must also be able to assist in the maintenance of related accounting information and be able to provide clerical support to department operations. This position may be required to work overtime hours on an as-needed basis.
Equivalent to completion of the twelfth grade with at least two to four years of general office experience. This position requires great attention to detail, the ability to handle multiple tasks, excellent phone skills, personable attitude and work ethic that is both team- and service-oriented. Must be familiar with modern office practices, able to work in a fast-paced, innovative environment committed to continuous improvement and able to view problems as opportunities rather than obstacles. This position does require a valid drivers license. The successful candidate must also pass a background check, City physical and drug screen.
